Letter from the Headmaster - 6th January 2010

Dear Parents,

I am writing to update you on our arrangements for severe weather events. Trinity has boarders to look after at all times and we also have many parents for whom shutting School would prove exceptionally difficult. Therefore, our standard policy is to remain open in some form, whatever the weather, unless conditions become dangerous on-site.

Today’s weather conditions have been challenging, but I am delighted to say that School has nevertheless continued to operate successfully. Tomorrow’s weather may present different challenges, in that conditions are forecast to be very icy. We will follow a procedure similar to today’s ie. attempting to operate as normally as possible. The following guidance is offered:

  • Given the conditions, attendance is not expected for those facing transport problems.
  • We welcome, however, all those who can make it to School.
  • If you deem conditions to be too hazardous to be happy bringing your child/children to School, then do not attempt to do so.
  • Conditions on site will be made as safe as is reasonable and practicable. Pupils and visiting parents must move around on cleared paths only and follow any instructions issued on signage or verbally.
  • Salt is in very short supply and we cannot currently source additional supplies. There is therefore a risk that conditions may be slippery underfoot. It is recommended that pupils come to School with their shoes in a bag and with more suitable “winter” footwear such as boots on their feet, in order to minimise risks.

There were two problems that arose this morning with our current arrangements and therefore there are now additional new arrangements in place that should help matters:

  1. Volume of calls to the office in the early morning was excessive and, whilst the office was manned from 0800, we were also short-staffed. This meant that many calls were missed. In order to reduce the problem we have set up a new email system for absences in the case of severe weather. If your son or daughter will be absent as a result of a severe weather problem and you have access to email, please let us know via a brief email to weather@trinityschool.co.uk so that pressure on the phones is reduced. This system will operate from 0600 Thursday 7th January onwards.
  2. Neither the parent nor the School were able to obtain information about the coach services this morning. Dawlish Coaches have therefore issued us with a contact number in case of future problems. It is: 07795 840787.

Finally, I would like to thank all of our staff for having helped ensure that the School has continued to function. I look forward to our weather returning to normal in the near future!
